I hereby acknowledge that I am the parent or legal guardian of the swimmer(s) registered with the Surrey Knights Swim Club (SKSC). I confirm that I am a member of SKSC, and I agree to the following terms and conditions:
1. FINANCIAL OBLIGATIONS
I agree to pay all SKSC fees in accordance with the following terms:
- Registration Fees: Charged during online registration via credit card (covering September to August of each season) and includes:
- SKSC Family Registration Fee (as per the SKSC Constitution).
- Required team gear kit for each swimmer, each season.
- Swim B.C. / SNC annual registration fees, corresponding to my swimmer’s competition level.
- SKSC Training Fees: Payable within the first 5 days of September or the swimmer's first training month.
- This yearly fee may be paid either annually in full or in monthly installments.
- Payment Methods: Credit card is the preferred method. If paying annually, payment may be made by cheque. Cash is discouraged and will only be accepted for annual payments if an official receipt can be provided.
- Volunteer Assessments:
- Assessed annually on July 1st.
- Job credits are earned toward this assessment (from July of the preceding season through June of the current season) at a rate of $5.00 per credit.
- Any unearned portion of the volunteer assessment will be automatically charged to the credit card on file during the first 5 days of July.
- Swim Meets:
- If my swimmer(s) registers for a competition, I am responsible for all entry fees, late scratch fees, and associated registration upgrades.
- Refunds: Entry fee refunds will only be considered upon submission of a doctor's note to present to the meet host. Please note: The host of the competition retains final authority to approve or decline refund requests; this is beyond SKSC's control.
- All fees will be billed to the credit card on file and are payable by established SKSC deadlines.
- Equipment & Apparel:
- If I place an order for equipment, I am responsible for all costs outlined on the equipment order form.
- If my swimmer requests a cap at a workout or swim meet, the cost of the cap will be billed directly to my account.
2. WITHDRAWALS & REFUNDS
- Before the Start of the Season (All Members): All fees are refundable, less a $25 administration fee per swimmer.
- First Two Weeks (New Members Only): Swim B.C. and SKSC registration fees are non-refundable. Training fees are refundable, less a $25 administration fee (if already processed).
- Within the First Month (New Members Only): All registration fees and the first month's training fees are non-refundable.
- Returning Members & New Members Beyond 1 Month:
- I must provide at least one (1) full month’s written notice, effective from the 1st of the month I wish to withdraw, to the Club Registrar if my swimmer withdraws before the end of the swim year.
- No partial-month refunds will be granted.
- Cut-Off Date: No refunds will be issued for withdrawal notices submitted after April 1st. If a swimmer participates during the second to last month of the session (May/June), no refunds will be provided for the last month (June/July)
- Volunteer assessments will be prorated, earned credits applied, and any unearned portion billed.
- Any outstanding meet fees or other incidentals will be billed.
- Members who paid annually by cheque and withdrew early will have their participating months reassessed and charged at the full standard monthly rate.
- Missed Practices: Practices missed due to illness, vacations, outside activities, or personal scheduling conflicts are non-refundable and not eligible for make-up sessions.
- Medical Exceptions:
- Temporary Absence: If a swimmer is unable to participate for more than 2 consecutive weeks due to a medical condition and presents a doctor’s note specifying the duration, SKSC may issue a medical credit.
- Permanent Medical Withdrawal: If a swimmer can no longer participate in the sport for medical reasons, SKSC may issue a medical refund for training dues paid past the date of written notification.
- Proficiency Assessment: SKSC retains the right to terminate registration and refund training fees within 30 days of registration should my swimmer not possess the required technical proficiency for their age or group level.
3. SWIM MEETS & VOLUNTEERING
- Volunteer Requirement: I understand that club operations for swim meets rely entirely on volunteers. I agree to attend Official Clinics and volunteer at swim meets, acknowledging that as an SKSC parent, I must fulfill mandatory official/volunteer commitments for competitions hosted or attended by the club.
- Viewing Area Rules: Parents and spectators must remain in designated viewing areas at all times unless actively volunteering or granted permission by a coach. Failure to remain in designated areas may result in the swimmer being removed from the meet by meet management.
- Coaching Authority : SKSC coaches maintain sole responsibility and final decision-making authority over all technical aspects of the program, including meet selections, event entries, and relay lineups.
