I hereby acknowledge that I am the parent or legal guardian for the swimmer(s) registered with the Surrey Knights Swim Club (or a 19 & Over swimmer). I also acknowledge that I am a member of the Surrey Knights Swim Club and I agree:

1. Program Philosophy & Technical Authority

  • Mission Focus: SKSC’s core aim is to promote "personal excellence" within a competitive swimming environment. 
  • Coaching Authority : SKSC coaches maintain sole responsibility and final decision-making authority over all technical aspects of the program, including group placement/advancement, meet selections, event entries, and relay lineups.
  • Reassignments: Swimmers who fail to meet the expectations, attendance standards, or skill criteria of a group may be reassigned to a group that better suits their abilities following an evaluation by the coaching staff.
  • Group Advancement: When swimmers are offered the opportunity to move to a new group, they may be required to meet additional group criteria, commit to increased training schedules, or complete an evaluation period.  If a swimmer declines a group promotion, they may remain in their current group temporarily. However, if their presence prevents or hinders another eligible swimmer from advancing, during the next group advancement (placement) cycle, the swimmer may be required to either accept the advancement or transition to a group that better aligns with their commitment level
  • Communication Chain: Any concerns regarding training or program operations must be brought directly to the Head Coach. Should a concern remain unresolved, it will follow the official SKSC Dispute Resolution Procedure.
  • Meeting Attendance: Members agree to attend general club meetings and scheduled parent information sessions.
  • Schedule Adjustments: Practice and event schedules are subject to change, with modifications or cancellations made at the discretion of SKSC.

2. Registration, Compliance & Governance

  • Governing Body Registration: By registering with SKSC, swimmers are automatically registered with Swim BC and Swimming Natation Canada (required for pool participation).
    • ACTION ITEM: For applicable programs, members must complete the secondary Swimming Natation Canada online registration prompt upon receiving their login email. Failure to complete this step may result in a temporary suspension from club activities.
  • Policy Review: Members are responsible for reading, understanding, abiding and keeping up to date on all Operational, Financial and Safe Sport policies set by SKSC and its governing bodies (Swim BC and Swimming Canada). 
  • Privacy & Data Consent: Members acknowledge and agree to the Swim BC / Swimming Canada Use of Personal Information policy for all account members (swimmers, guardians, coaches, and officials).

3. Promotional & Media Release

  • Media Authorization: SKSC is authorized to use video footage, audio recordings, and photographs involving registered swimmers for educational, website, social media, club portfolio, and marketing purposes.
  • Name & Photo Usage: SKSC may publish swimmer names and photo likenesses in club promotional materials, website and social media.
  • Third-Party Media: SKSC has no control over photos or swimmer names released by external organizations (e.g., overall results or photos posted on another club's website).

4. Financial Policies - General

  • Payment Method On File: Members must maintain a valid, up-to-date credit card on file at all times, regardless of their primary preferred payment method.
  • Declined Card Fees: A $10 fee will be assessed for any second and subsequent credit card decline within a single season.
  • Returned Cheques (NSF): Members are responsible for all bank fees incurred by SKSC for returned cheques. A $10 admin fee will be added to any NSF cheque in a season in addition to bank fees. SKSC reserves the right to refuse cheque payments from accounts with multiple NSF occurrences.
  • Late Payments: Invoices past due by 21 days without prior communication or payment arrangements will incur a $15 late fee.
  • Financial Discretion: SKSC retains full discretion regarding credits, refunds, or financial actions for schedule, fee, or program alterations resulting from events both inside and outside the club's control.
  • Note: Please refer to your specific program accord for additional program-specific financial details.

5. Withdrawal & Refund Policy

  • Missed Practices: Missed sessions due to illness, vacations, outside activities, or personal scheduling conflicts are not eligible for refunds, credits, or make-up practices.
  • Medical Exceptions:
    • Temporary Injury/Illness: If a swimmer misses more than two consecutive weeks due to a medical condition (supported by a physician’s note specifying the duration), SKSC may issue a medical credit.
    • Permanent Medical Withdrawal: If a swimmer is medically unable to return to the sport, SKSC may issue a prorated refund for dues paid after the formal date of written notification.
  • Note: Refer to program-specific accords (Competitive, Sessional, Masters) for exact withdrawal notification timeframes.

6. Medical Consent & Liability Release

  • Emergency Medical Authorization: In the event of a medical emergency where parents/guardians cannot be reached, the attending SKSC coach or official chaperone is authorized to approve emergency medical care deemed necessary by a licensed physician. The account holder assumes full responsibility for all costs incurred.
  • Liability Waiver: The signee releases SKSC, its board, coaches, and successors from any actions, claims, or liabilities arising out of instruction, training, swim meets, or any club-sponsored event.

Acknowledgment

By completing registration, I confirm that I have read, understood, and agree to abide by all obligations, policies, and consents outlined above as a member of Knights Swim Club (SKSC).
